EXTRA EFFORT AWARDS

Magda Carlos-Trevino, Lead Student Assistant, IISS – Nominated by Kim Steinmetz

Magda is a tremendous support to our team! She works hard to support incoming students and really tries hard to advocate. She can get into the mindset of a student! She also provides Spanish language support to those who need it. She really works hard, manages our Zoom room, and emails. Magda loves students, education, culture, and disability advocacy. She is always willing to help students because she wants them to be successful and have a good experience at JCCC. We’re so lucky to have her and we’re thankful for all the hard work!

 

Jaya Daniel, International and Immigrant Coordinator, IISS – Nominated by Kim Steinmetz

Jaya has done a wonderful motivating our reporting cycle this year! Jaya worked to ensure we completed SEVIS registration quickly so we could generate other crucial reports like insurance and ratio reports. It is one of the hardest things at the beginning of the semester. Jaya looks at non-compliant students with empathy as she looks for ways to connect them to resources. She wants to keep them enrolled. She works hard to help students who may not have other support. Jaya embodies the JCCC spirit and is wonderful to have our team. She’s kind, positive, hardworking, and emphatic. Thank you, Jaya!

For putting together, the “How to Look Good in Zoom” training materials ahead of PDD so that I could use them for some early training in the Legal Studies department.

Rachel Haynes, Technical Training Coordinator, Staff & Organizational Development – Nominated by Gwenda Hawk

I know training is part of her job but want to thank Rachel for creating an impromptu mini-training session on Zoom. A handful of chairs and other faculty leaders in the Business Division wanted some hand-on practice with Breakout Rooms, Polling, and other Zoom-features and Rachel did an excellent job of working with us so that we could then provide training to other faculty in our departments. Thank you!

 

Suzanne Maheu, Coordinator, Homestay and Community Support Services, IISS – Nominated by Kim Steinmetz

We’ve experienced major changes to our international insurance policy. Suzanne has done the heavy lifting to ensure our insurance provides quality services to our students. She has worked tirelessly to get clarity, to advocate for students, and to ensure students can access information. As a Canadian, she empathizes with students who struggle to navigate the system and she recognizes the barriers in accessing health. She uses her cultural capital to help students with acculturation. She also is genuinely curious about our students’ lives, wellbeing, and successes! We’re lucky to have such an advocate on our team.

Accomplishment: (Task must have been completed upon this nomination)

Several departments recently collaborated to transition the Board of Trustees meeting productions to a hybrid style incorporating Zoom into the existing campus infrastructure.  This transition, essentially the merging of two existing technologies, required several meetings with Multimedia Services and Video Services to plan the new system, install the new computers, monitors, and hardware, and troubleshoot signal flow issues.  Network & Data Center Operations provided support for Zoom Webinar licensing.  Maintenance installed plexiglass in the Board room and supported a rush request to install plexiglass in the Video Services control room.  This project also required a rush request to Academic Technology Services to configure two additional computers.  The President’s Office helped to coordinate and provide logistical support.  Team members from Academic Technology Services and Multimedia Services provide technical support throughout the day as participants prepare their presentations.  Video Services records the meetings and takes care of the posting and captioning.  As a result of these efforts, a smaller group is able to meet in the Board Room while maintaining social distancing, and everybody else is able to join the meeting by Zoom in a seamless manner.

This team accomplishment is in direct alignment with Employee Engagement, Community Engagement and Operational Excellence.  The traditional format of JCCC Board of Trustees meetings has always allowed students, employees, and members of the community to participate.  It is vital that the meetings occur unimpeded, in an open and participatory format that is accessible to all.  During a time when people are returning to campus in limited numbers with new room capacity limits, this became a challenge. This team made it happen.  The meetings continue to take place with some trustees and employees in the room and others, as well as students, employees, and members of the community, participating by Zoom.  The meetings remain open to the public as they are broadcast live on Zoom while retaining the Open Forum component and are made accessible with live captioning.  I am pleased to nominate them for the recognition they deserve.

Accomplishment:

JCAE knew that online classes would be a challenge for adult education students who often don’t own computers, can’t afford to buy them, and at enrollment, don’t have some of the basic skills needed for online learning. Our plan for fall classes included a session wherein each of ~600 students attended a “device set up” class. In the class, each student brought his/her own laptop or tablet and smartphone. Each created an email account, downloaded various apps, logged on to various sites, etc. As expected, many obstacles were encountered. Some students had Macs, some had tablets, and some had laptops, all different brands, and vintages. Computers were set to the student’s native language including Spanish, Chinese, Arabic, and others.

Figuring out how to download apps on such wildly different devices was no small feat. We knew that each instructor (who are experts in teaching Adult Basic Education or English for non-native speakers, but not necessarily technology experts) would struggle to complete the device setup quickly for up to 10 students at a time in a single classroom. I contacted Dr. Miller to ask if his team could help, and he eagerly accepted the challenge. He notified his direct reports, and his direct reports extended an invitation to “tutors” throughout his organization to help.

At the end of the project, 52 persons/sessions were supported. The table above shows that several tutors assisted multiple sessions, with Mary Brady taking the prize for assisting nine separate sessions! Not only were the sessions effectively covered, but the interactions between students and tutors were heartwarming. Several tutors commented on how much they enjoyed working with JCAE students. We are deeply grateful to Dr. Miller, his directors, and these tutors who helped our students start classes on the right foot for productive online learning!
